What gets in the way
Where healthcare businesses lose time.
The same three problems come up again and again. Each one has a fix that does not depend on anyone remembering.
Enquiries wait while the front desk is busy
Enquiries arrive by phone, web form, Instagram and WhatsApp while the front desk is with a patient. By the time someone replies, the moment has passed.
Every enquiry lands in one place and gets a reply and a way to book straight away.
No-shows leave gaps in the diary
A reminder depends on someone finding time to send it. A missed appointment leaves an empty chair and a practitioner with nothing to do.
Confirmations and reminders go out on their own, with an easy way to rebook.
Intake forms and aftercare are handled by hand
Medical history and consent forms are filled in on a clipboard at the desk, then typed up. Aftercare advice and review dates rely on someone remembering.
Forms are completed before arrival and filed on the patient record. Aftercare and review prompts follow each treatment.
How it connects
One connected workflow.
Choose your kind of business. Each step hands over to the next automatically, with your team stepping in where judgement matters.
- 01
Treatment enquiry
An enquiry from your website, Instagram or a call becomes a record, with the treatment it is about.
The system
- Logs the enquiry and where it came from
- Replies with the next step and a booking link
- Follows up if the person does not book
Your team
The front desk speaks to the people whose questions a form cannot answer.
- 02
Consultation booked
The consultation goes in the diary, with a deposit if you take one.
The system
- Books into the right practitioner’s diary
- Takes the deposit where you require one
- Sends the confirmation and reminders
Your team
The practitioner sees who is coming and why.
- 03
Forms and consent
Medical history and consent forms are completed before the patient arrives.
The system
- Sends the forms after booking
- Flags answers a practitioner should see first
- Files signed forms on the patient record
Your team
The practitioner assesses the patient and decides whether to treat. That decision is never automated.
- 04
Aftercare and rebooking
Aftercare advice goes out after treatment, and the patient is invited back when the next one is due.
The system
- Sends the aftercare for that treatment
- Books the review appointment where one is needed
- Prompts a rebooking when the treatment is due again
Your team
The clinic handles any concern a patient raises after treatment.
- 01
New patient enquiry
An enquiry about joining the practice or about a treatment is captured with what the patient is looking for.
The system
- Logs the enquiry and where it came from
- Answers common questions about joining and treatments
- Offers an appointment
Your team
Reception picks up the conversations that need a person.
- 02
Appointment and forms
The appointment is booked and the medical history form is completed before the visit.
The system
- Sends the confirmation and reminders
- Sends the medical history form
- Flags patients who have not completed it
Your team
The dentist starts with an up-to-date history.
- 03
Treatment plan
After the examination, the patient receives their plan and estimate to accept.
The system
- Sends the plan and estimate for acceptance
- Follows up plans that have not been accepted
- Books the treatment appointments
Your team
The dentist writes the plan and answers clinical questions.
- 04
Recall
Every patient has a recall date for their next check-up or hygiene visit.
The system
- Invites the patient ahead of the recall date
- Reminds those who have not booked
- Shows who is overdue
Your team
The team decides how to follow up patients who have lapsed.
- 01
Enquiry or referral
A self-referral, a GP letter or an insurer referral becomes a patient record with its source.
The system
- Logs the referral and who sent it
- Checks the details needed to book
- Offers the first appointment
Your team
Your team handles referrals that need a clinical decision before booking.
- 02
Assessment booked
The first assessment is booked and the intake questionnaire is done in advance.
The system
- Sends the confirmation and reminders
- Sends the intake questionnaire
- Collects insurer or payment details
Your team
The clinician arrives at the assessment with the questionnaire already read.
- 03
Course of treatment
Follow-up sessions are booked as a course, so patients do not drop off part way through.
The system
- Books the sessions in the plan
- Reminds the patient before each one
- Flags patients who cancel and do not rebook
Your team
The clinician sets the plan and changes it as the patient progresses.
- 04
Discharge and follow-up
At the end of treatment the patient gets their advice in writing and a check-in later.
The system
- Sends the discharge advice
- Checks in after an agreed period
- Asks for a review
Your team
The clinic follows up anyone who reports a problem.

How we build
Built for patient care.
A clinic system handles health information and sits close to clinical decisions. These are the rules we build to.
Clinical governance and regulatory compliance stay with your clinic. We build the system around your protocols and do not give clinical or regulatory advice.
See our approachClinical decisions stay with clinicians
The system books, reminds and collects forms. Assessing a patient and deciding whether to treat are never automated.
Health information handled with care
Medical history and consent forms are held securely, with access limited to the people who need them.
Access by role
Reception, practitioners and managers each see what their job needs. Patients only see their own records.
Built in your accounts
The system and its data sit in accounts in your clinic’s name. Hosting and retention are agreed with you in the written scope.
Do we have to replace our booking system?
No. We start with what you already use. Where your booking or practice system does the job, we connect to it as far as it allows and build around the gaps.
Does AI give clinical advice to patients?
No. AI can answer general questions, book appointments and draft messages. Anything clinical goes to a person, and assessment and treatment decisions stay with your practitioners.
How is patient information protected?
Health information is held in accounts in your clinic’s name, with access set by role. What is collected, where it is stored and how long it is kept are agreed with you and written into the scope.
Will it work across more than one site?
Yes. A group can run on one system, with each site seeing its own diary and patients and the owners seeing everything.
How long does it take, and what does it cost?
Both depend on the scope. We start with an audit of how your clinic works now, then give you a written scope with the systems, integrations and measures we will judge the build by. Nothing is built until you have agreed it.
