Med spa automation: what to connect from inquiry to rebooking

Med spa automation connects the steps a patient already goes through, from inquiry to consultation, treatment, rebooking and review, so that none of them depends on someone at the front desk remembering. Agentryx builds it around the booking and payment software you already use, in your own accounts. This page covers what is worth automating, what should stay with your staff, what it costs and when you do not need it.

What does med spa automation cover?

Think of it as five handoffs and one report. At each one, the system does the repeatable part and your staff keep the part that needs judgment.

StageWhat the system doesWhat stays with your staff
InquiryReplies to a web form, ad lead, text or missed call right away. Asks which treatment the person is interested in and offers consultation times.Any question about whether a treatment is suitable.
ConsultationBooks into your scheduling software, sends the confirmation and reminders, and lets the patient reschedule by reply. The consultation itself and every recommendation made in it.
TreatmentSends the pre-visit and aftercare information your providers have approved. Flags your team if a patient replies with a concern. The response to that concern, and all clinical judgment.
RebookingPrompts the patient when the interval you set for their treatment has passed, and offers times.Setting the interval for each treatment.
ReviewsAsks for a review after the visit, the same way every time.Replying to a complaint.
ReportingShows inquiries, booked consultations, shows and rebookings in one view.Deciding what to change.

The work is mostly connection. Your scheduling and payment software already hold the appointments and the money. What is missing is the follow-through between them.

02

Where do med spas lose patients between those steps?

Four places come up again and again. Inquiries are answered too slowly, so the person books somewhere else. Booking takes several messages back and forth, with the same details typed into two systems. Patients miss appointments or never rebook. Review requests go out when someone remembers.

The first of those is the best documented. A Harvard Business Review study audited 2,241 US companies and found that 37% responded to a web lead within an hour, while 23% never responded at all. The data is from 2011 and covers many industries, not med spas alone, so treat it as a direction, not a benchmark for your practice.

Two pages go deeper on the front end of the journey. Med spa lead follow-up covers leads from ads and social that ask and never book. AI receptionist for med spas covers the phone.

03

Which stage should you fix first?

Do not automate the whole journey at once. Use last month's numbers to find the widest gap.

  1. Count inquiries against booked consultations. Include forms, ad leads, texts, social messages and missed calls. A wide gap here means the first reply is the problem.
  2. Count booked consultations against shows. A gap here points to confirmations and reminders.
  3. Count patients who are past their rebooking interval. If the list is long and nobody is working it, start there. These people already know you.
  4. Count completed visits against review requests sent. This is the smallest build of the four.
  5. Pick one. Fix the widest gap, measure it, then decide on the next.

Our guide on what to automate first uses the same approach for any service business. If shows are your gap, read why show rates drop before buying anything.

04

How does it connect to the software you already use?

We keep what works. Your scheduling software stays the record of appointments and your payment system stays the record of money. The automation reads from them and writes back to them where they allow it.

How much each product allows varies, so we check your exact setup in the audit before promising any connection. Where a product will not share what is needed, we tell you, and the scope is written around that limit.

Everything new is built in your own accounts, and you own the code and the data. The MRM Group build, for a UK property company, shows the same pattern: task workflows, reminders and an audit history, with a person approving the sensitive steps.

05

What stays with a person, and what about patient data?

AI never gives clinical advice. In our builds it is limited to information you have approved, it says when it does not know, it tells people it is automated and it hands over to a person. Money, complaints and anything clinical go to your team with the conversation attached.

Two US rules shape every med spa build. A system that touches patient health information needs a HIPAA review. Marketing texts and automated calls need the right consent. Both are settled in the audit and the written scope before anything is built. That is our process, not legal advice, and your own attorney or compliance adviser has the final say.

06

What does med spa automation cost?

The audit comes first and costs $5,000. We map how the practice runs, the tools it uses and where work gets stuck, and you get a written report within 10 working days. The fee is credited against the build when the build deposit is paid within 14 days of the report.

Scoped builds run from $10,000 to $30,000. Before the audit we give a range, never an exact price. One stage, such as reminders and rebooking, sits lower in that range. The full journey across several systems sits higher. The price moves with the number of stages, the systems to connect, how many locations you run and whether AI holds conversations.

Running costs such as hosting, software, phone minutes and AI usage are paid directly to the providers from your own accounts. Support after launch is optional: Run & Improve is $2,000, $3,500 or $6,000 a month. The build timeline is agreed in the written scope. Agentryx is a UK company that works with businesses in the UK and US, which is why US prices are quoted in dollars.

07

When is automation not worth it for a med spa?

  • Your front desk already keeps up. If every inquiry gets a same-day answer and the numbers above show no real gap, a build will not pay for itself.
  • Your scheduling software can already do it. If it can send confirmations and reminders and you have not switched them on, do that first. It is cheaper.
  • You are about to change scheduling software. Change it, settle in, then connect things to it.
  • The problem is demand. Automation closes gaps between steps. It does not create inquiries that are not arriving.
  • Your treatment menu and prices change every few weeks. Approved information has to stay current, so settle the menu first.

Frequently asked questions

How much does med spa automation cost?

It starts with the paid audit, and the build is priced from the audit report. A single stage costs less than the full patient journey, and you can build one stage at a time.

Does this replace our booking software?

No. Your booking and payment software stay in place. We build the steps between them and connect to them as far as each product allows.

Who owns the system once it is built?

You do. It runs in accounts held in your name, so it keeps working if you stop working with us.

How long does a build take?

We do not give a figure before the scope is written, because it depends on what your software lets us connect to. The timeline is part of the scope you sign.

Can we start with one stage and add more later?

Yes, and we recommend it. Fix the widest gap, check the result in your own numbers, then decide whether the next stage is worth building.

Will the system answer questions about treatments?

Only with general information your providers have written and approved, such as what a consultation involves. Anything about an individual's suitability, side effects or results is passed to your staff.

What do you need from our team?

Access to the tools you use, someone who knows how the front desk really works, and a person to approve wording and test with real cases before launch. We train your team at launch and hand over documentation.
