Why does the speed of the first reply matter?
A lead from an ad is at its warmest in the moment the form is sent. Harvard Business Review research found that firms that tried to contact a web lead within an hour were nearly seven times as likely to qualify it as those that waited even an hour longer. They were more than 60 times as likely as firms that waited 24 hours or more.
That is US data from 2011, across many industries, so do not read it as a forecast for your practice. The direction fits what a med spa sees, though. Someone who asks about a treatment late in the evening can send the same question to two other practices before your front desk opens.
Our guide to speed to lead response time covers how to measure your own reply time before you change anything.
What does the follow-up sequence look like?
Each build is scoped around your lead sources and your scheduling software, but the order of events is usually close to this.
- Capture. Leads from ad forms, social messages and website forms land in one list, each with its source and the treatment the person asked about.
- First reply. A text and an email go out right away. They name the treatment, say the message is from an automated assistant and offer consultation times.
- Booking. The lead picks a time. It goes into your scheduling software and a confirmation is sent.
- No answer. A short series of follow-ups runs over the following days, on the channels the person agreed to. It stops the moment they reply, book or opt out.
- Reminders. Reminders go out before the consultation, with a way to reschedule by reply.
- Missed consultation. The system offers a new time once. After that your team is told, and a person decides what happens next.
- Handover. A clinical question, a request for a discount or a complaint goes to a person, with the whole conversation attached.
- Report. One view shows leads, replies, booked consultations and shows for each source, so you can see which ads bring people who book.
The wording of every message is yours to approve. More on the service is on our follow-up and nurture page.
How do you re-engage old leads?
Your scheduling software, your ad accounts and your inbox hold people who asked about a treatment and never booked. They are worth one more careful attempt, in this order.
Check consent first. For each old lead we look at what they agreed to receive, when and how. Leads without consent you can rely on are left out, and where that line sits is settled in the scope.
Keep it short. One plain message that mentions the treatment they asked about and offers a consultation, then one more at most. No countdown offers and no invented urgency.
Send in small batches. Replies need a person some of the time, and a front desk that is swamped answers slowly. Batches keep the replies manageable.
We make no promise about how many old leads will book. Our guide on how to follow up leads who do not book explains why some never will, and when to stop.
What should the automation never do?
- Give clinical advice. AI never tells a lead whether a treatment is suitable, safe or likely to work for them. Those questions go to your providers.
- Go off the approved information. It works from the services, prices and policies you signed off, and says so when it does not know.
- Pretend to be a person. It tells people it is automated and offers a team member on request.
- Keep messaging after an opt-out. A stop request ends the sequence on every channel.
- Take payments or handle complaints. Both go to your staff.
Two US rules sit behind this. Marketing texts and automated calls need the right consent, and a system that touches patient health information needs a HIPAA review. Both are settled in the audit and the written scope before anything is built. This is how we work, not legal advice, and your own attorney or compliance adviser has the final say. What does lead follow-up automation cost?
The first step is a paid audit at $5,000. We map your lead sources, your tools and where leads get stuck, and you receive a written report within 10 working days. The fee is credited against the build when the build deposit is paid within 14 days of the report.
Scoped builds run from $10,000 to $30,000. Before the audit we give a range, never an exact price. Follow-up for one lead source feeding one scheduling system sits lower in that range. The price rises with the number of lead sources and channels, whether AI holds a two-way conversation or the messages are fixed, and how much cleaning the old lead list needs.
Text messages, email, hosting and AI usage are paid directly to the providers from your own accounts. Everything is built in those accounts, and you own the code and the data. Support after launch is optional through Run & Improve at $2,000, $3,500 or $6,000 a month. The build timeline is agreed in the written scope.
When is manual follow-up enough?
- You get a handful of leads a week. If your front desk replies within the hour during business hours and few leads arrive after hours, a build is hard to justify.
- Your existing tools already send a reply and a booking link. If they do and leads are booking, check your booked rate before paying for anything new.
- Your leads call, they do not write. Then the phone is the gap. See AI receptionist for med spas.
- The ads bring the wrong people. Fast follow-up will not turn a poor-fit lead into a patient. Fix the targeting and the offer first.
- Your consultation calendar is already full. More bookings you cannot serve help nobody.
Follow-up is one stage of a longer journey. The rest, from treatment to rebooking and reviews, is on our med spa automation page.
Frequently asked questions
How much does med spa lead follow-up automation cost?
The audit is a fixed fee and the build is priced from its report. The number of lead sources and whether AI replies in conversation are the two things that move the build price most.
Which lead sources can it connect to?
Ad lead forms, website forms, social messages and missed calls are the usual ones. What each platform will share differs, so we confirm every connection in the audit before it goes into the scope.
Are the replies written by AI?
That is your choice. The sequence can use fixed messages you wrote, or AI that replies in conversation from information you approved. Fixed messages are simpler and cost less to build.
What happens when a lead asks a medical question?
The automation does not answer it. It tells the lead a team member will reply, offers a consultation and alerts your staff with the conversation so far.
Can it message leads from last year?
Only those whose consent covers the message. We review the list with you before anything is sent, and leads without a clear record are left alone.
Will it replace our front desk?
No. It handles the first reply, the booking and the reminders. Your team takes the conversations that need a person, with the history already in front of them.
How will we know it is working?
The success measures are written into the scope before the build, for example reply time and booked consultations per lead source. After launch we review those numbers with you and agree the next changes.
