Enrolment and learner follow-up automation for training providers

Enrolment and learner follow-up automation for training providers closes two gaps: the one between an enquiry and a paid place, and the one between enrolling and finishing. We build it from three parts: follow-up and nurture, a learner portal and, where a course or membership is sold as a product, a web app. Each build is scoped around the booking, payment and course tools you already use.

Where do training providers lose enrolments and learners?

Interest in a course is rarely the problem. The losses come after someone has raised a hand:

  • Enquiries get one reply. A prospectus goes out, the person goes quiet, and nobody writes again.
  • Replies are slow at busy times. Enquiries peak before a start date, which is when your team is busiest.
  • Enrolment is a chain of emails. Forms, payment details and joining instructions go back and forth by hand.
  • Learners drift. Someone misses a session, falls behind and stops, and you find out at the end.
  • Finished learners hear nothing. The next course would suit them, and no one tells them.

Our education page covers the sector as a whole. If you run an online academy with coaches and a community, our online academies page is the closer fit.

Which three solutions fit a training provider?

Each one does a different job and pulls a different lever. You may only need the first.

Follow-up and nurture: enquiry to enrolment

Follow-up and nurture replies to each enquiry at once with the right course details, then follows up on a schedule you set until the person enrols, says no or asks to stop. It also reminds enrolled learners before their first session. Levers: more clients, and money kept when booked learners turn up.

Client portals: learner onboarding, materials and progress

A learner portal gives each learner one login for their enrolment forms, joining instructions, materials and progress. Your team sees who has not started, who has fallen behind and who is close to finishing. Lever: more money per client, because learners who can see their progress stay longer and come back.

Web apps and SaaS builds: a course or membership as a product

A web app turns a course or membership into something people buy and use without your team in the middle: sign-up, payment, access and renewal in one place. Lever: more money per client, from subscribers who pay each month.

03

How does the follow-up work, step by step?

  1. An enquiry arrives from your website, an advert or a phone call, and lands in one record with the course it was about.
  2. A reply goes out straight away with dates, price and the next step, in your wording.
  3. Follow-ups run on your schedule. Each one adds something: a start date, an answer to a common question, a place count if you publish one.
  4. A reply stops the sequence and gives a named person a task to respond.
  5. Enrolment triggers the portal invitation and the joining reminders.
  6. A missed session raises a flag so a tutor can get in touch while it is still easy to catch up.

Speed matters at step two. A Harvard Business Review study, "The Short Life of Online Sales Leads", found that firms that tried to contact a web lead within an hour were nearly seven times as likely to qualify it as those that waited even an hour longer. That is US data from 2011 on business sales leads, not learners, so read it as a direction and not a forecast.

Messages only go to people who asked to hear from you, and every one carries a way to stop. Complaints, refunds and anything about a learner's personal circumstances go to a person.

04

What is it worth? Do the sum

The leak, in an owner's words: "People ask about a course, we send the details, and then we never hear from them again." Follow-up is the main fix, and the portal adds a second line for providers with a membership.

LineExample figureRunning total
Enquiries a month that go quiet after the first reply50
Share that enrol once someone follows up1 in 105 learners a month
Course fee£500£2,500 a month
Months in a year12£30,000 a year
Members on a monthly plan100
Extra months each one stays1
Monthly fee£40£4,000 a year
Both lines together£34,000 a year

Example figures. Swap in your own. We made these round numbers up to show the method. They are not a result, an average for training providers or a forecast. Leave the membership lines out if you sell courses one at a time.

For your own number, count last month's enquiries and how many got no second message. Use your real enrolment rate from the people you do follow up, and your real course fee. You can also work out your own figure with our ROI calculator.

Bring those counts to a call. The paid audit that follows prices each problem for a year in its report, using your figures and not ours.

What have we built for an academy?

TMMB Academy is a TikTok Shop academy. It came to us with fragmented funnel and operating processes, rising software subscriptions and no single system. We built one portal with role-specific workspaces for admins, coaches, creators, sales, assistants and brands, covering onboarding, subscriptions and payments, course modules, calls, messages and community resources.

The implementation ran for more than 60 days. TMMB was able to take on greater capacity, improve scalability and retention, and reports generating six figures within roughly two to three months (client-reported, shared with permission). That figure is the client's own.

Read the TMMB Academy case study.

06

What does it cost?

We start with a paid audit at £3,000 plus VAT (US $5,000), with a written report within 10 working days. The fee is credited against the build when the build deposit is paid within 14 days of the report. Before the audit we give a range, not an exact price.

Scoped builds run from £5,000 to £20,000 (US $10,000 to $30,000). Follow-up on its own sits lower in that range, and a portal with several roles, payments or a membership product sits higher. The timeline is agreed in the written scope.

You own the code and the data. Hosting, software and message costs are paid directly to the providers from your own accounts, and support after launch is optional, from £1,000 a month.

07

When a cheaper option is enough

If you run a few small cohorts a year, ring every enquirer yourself. A phone call beats any sequence, and at that size you have time to make it. If your course platform already sends reminders and tracks progress, switch those features on before paying for a build.

Hold off as well if your enquiry records are unreliable. Follow-up sends to whatever is in the list, so clean it first. A custom build starts to make sense when enquiries arrive faster than your team can answer them properly.

Frequently asked questions

How much does enrolment and follow-up automation cost?

A £3,000 plus VAT audit comes first, credited against the build when the deposit is paid within 14 days of the report. Scoped builds run from £5,000 to £20,000. The number of courses, the systems to connect and whether you need a portal move the price.

Will it work with the course platform we already use?

We keep what works and connect to it where the platform allows. The audit checks what your platform can send and receive before we scope anything.

Do the follow-up messages sound automated?

They are written in your wording and you approve each one before launch. Where AI writes or answers, it tells people it is automated and hands over to a person when asked.

Can learners pay and enrol without speaking to us?

Yes, if you want that. Sign-up, payment and access can run in one flow. Courses that need an interview or a check first keep a person in that step.

Who owns the learner data?

You do. Everything is built in your own accounts, with access set by role. The scope settles how the system handles the rules that apply to you.

Can we start with follow-up and add a portal later?

Yes. Starting with the enquiry to enrolment gap keeps the first scope small. The portal and any membership product can follow once the numbers show where the next gap is.
