A custom platform for online academies and coaching businesses

An online academy outgrows its tools when applications, sales calls, payments, course content, coaching and community each live in a different subscription. A custom platform puts them in one place, with a workspace for each role (students, coaches, sales, admins) and one set of numbers for the business. TMMB Academy runs six roles on the portal we built and reports generating six figures within roughly two to three months (client-reported).

The tool stack most academies end up with

A typical growing academy pays for a course platform, a community app, a CRM, a booking tool, a payment processor, a messaging tool and a spreadsheet to tie them together. Each works on its own. Together they cause the same problems:

  • Students log in to three places for content, calls and community.
  • Coaches cannot see the full picture of a student's progress, payments and messages.
  • Sales and delivery are disconnected, so a new student's details are typed in again after they pay.
  • Nobody trusts the numbers, because enrolments, retention and revenue come from different tools.
  • Subscription costs keep rising as the team and student numbers grow.

What one platform includes

AreaWhat it covers
Applications and salesApplication forms, qualification, booked calls and the sales pipeline in your CRM
EnrolmentPayment, agreement and welcome in one flow
LearningCourse modules, resources and progress tracking
CoachingCalls, check-ins and messages attached to each student
RolesA workspace for each role: students, coaches, sales, assistants, admins and any partners
PaymentsSubscriptions, instalments and payment status visible to the right people
ReportingEnrolments, retention, performance and revenue in one view

You do not need all of it on day one. Most academies start with the part that hurts most, usually enrolment or the student portal, and add the rest in stages.

Case study: TMMB Academy

TMMB Academy runs a TikTok Shop academy. They came to us with fragmented funnel and operating processes, rising software subscriptions and no single system connecting the team to the customer journey.

We built one portal with role-specific workspaces for admins, coaches, creators, sales, assistants and brands. It covers onboarding, creator performance, subscriptions and payments, course modules, calls, messages, community resources, brand deals, deliverables and operational alerts. The implementation ran for more than 60 days.

TMMB was able to take on greater capacity, improve scalability and retention, and reports generating six figures within roughly two to three months. That is a client-reported result, shared with permission. Read the full TMMB Academy case study.

Custom platform or course software?

Course software is the right choice when you sell self-paced courses with light coaching and a small team. A custom platform starts to make sense when:

  • you have several roles who each need a different view;
  • coaching, performance data or partner work is central to what students pay for;
  • you are paying for five or more tools that each hold part of the student journey;
  • you want to own the platform, and possibly license it to others later.

We go through the maths on our custom software vs SaaS page.

Frequently asked questions

Can students and coaches have different views?

Yes. Each role has its own workspace and only sees what it needs. TMMB runs six roles in one portal.

Can it take subscription payments?

Yes. Subscriptions, instalments and one-off payments can run inside the platform, with payment status visible to your team.

Can we move our existing students and content across?

Usually, yes. We check what your current tools can export and plan the move so students are not disrupted.

How much does it cost?

Projects start at £4,500 for a focused first stage, such as a student portal. A full multi-role platform like TMMB's sits in our top band, from £20,000 to £30,000 or more. You get a written scope and price first.

Do we own it?

Yes. It is built in your accounts, and you own the code and the data.

Running your academy on too many tools?

List the tools you pay for and the roles that use them. We will map what one platform would replace and send a written scope and price.
