Investor lead qualification for property sourcing

Investor lead qualification for property sourcing means asking every new investor the same five things (budget, strategy, area, whether funds are ready and experience) soon after they enquire, then routing them. Serious investors get a call. The rest are nurtured until they are ready. When this runs through WhatsApp and spreadsheets it depends on who remembers to reply, so we build the questions, the routing and the follow-up as one system in your own accounts.

Why does the speed of the first reply matter?

An investor who fills in your form may well have enquired with other sourcers the same day. The one who replies first, with sensible questions, sets the tone.

The best public evidence is a Harvard Business Review study, The Short Life of Online Sales Leads. Firms that tried to contact a web lead within an hour were nearly seven times as likely to qualify it as those that waited even an hour longer. It is US data from 2011 and it is not about property, so treat it as a direction, not a forecast for your business.

The practical point is that a fast reply should not depend on you being free. Our guide to speed to lead goes further into response times.

02

What should you ask an investor?

Five questions do most of the sorting. Ask them the same way every time, and store each answer in its own field so you can filter on it later.

QuestionWhat you recordWhat it decides
BudgetThe amount available for the purchase and costs, as a rangeWhich deals are in reach
StrategyWhat they want the property to do, for example rental income or a resaleWhich type of deal to show them
AreaTowns or regions they will buy in, and any they rule outWhether your patch fits at all
Funds readyCash or borrowing, and whether it is in place todayCall now, or nurture until it is
ExperienceFirst purchase, or how many they have done beforeHow much explanation the first call needs

Add one more field that is not a question: how the investor agreed to hear from you, and when. You will need it every time you send a deal.

How does the routing work?

  1. Every enquiry lands in one place. Website forms arrive on their own. Enquiries that start on social media, by phone or in a chat are added by your team with a short form, so nothing stays only on someone's phone.
  2. The investor gets a reply straight away. It thanks them, says it is automated and asks the five questions.
  3. The answers are checked against your rules. You decide the rules in the scope, for example a minimum budget and the areas you cover.
  4. Serious investors are offered a call. They get a booking link, and a named person gets a task with the answers attached.
  5. Investors who are not ready go into nurture. The reason is recorded, with a date to check in again.
  6. People who do not answer are followed up. A short, fixed sequence runs and then stops. It does not chase for ever.
  7. Everything is logged on the investor record. Messages, answers, calls and the deals they are later sent.

The investor record then feeds matching, which we describe on the CRM for property sourcing page.

04

What stays with a person?

The system sorts. It does not decide who you work with. A person confirms each investor marked as serious before the call, and can overrule the rules in either direction.

Any AI in the flow is limited to information you have approved. It tells people they are talking to an automated assistant, says when it does not know and hands over to a person. It never gives financial advice, and questions about returns or whether a deal is suitable go to your team.

Qualification is not the same as promoting a deal. Property promotions to investors can be regulated financial promotions, so a person approves anything that goes to investors, and the scope settles the approval steps. For MRM Group, a UK property development and investment company, we built a public funnel connected to its CRM, with human approval at sensitive financial-promotion and AI decision points. Read the MRM Group case study.

05

What happens to investors who are not ready?

This is the group where spreadsheets fail. A row that says "funds in the spring" helps nobody unless something brings it back in the spring.

In the system each nurtured investor has a reason and a review date. Someone waiting on funds gets a check-in when the date arrives. Someone outside your area is kept in case your patch grows. Someone new to investing can receive general updates that a person has approved.

When an answer changes, the record changes and the investor moves back into the call queue. More on the mechanics is on our follow-up and nurture page and in the guide to following up leads who do not book.

06

When is a form and a spreadsheet enough instead?

  • You get a few investor enquiries a month. A form with the five questions, an alert to your phone and a tidy sheet will cope. Reply by hand.
  • Your investors come by referral. If each one arrives through someone you know, the first call is the qualification.
  • You have no deals to show. Qualifying investors faster only helps when there is something to offer them.
  • Your CRM already has forms and simple automation. Set those up before commissioning anything new. Our guide on what to automate first can help you choose.

A build earns its cost when enquiries arrive through several channels, more than one person replies to them, and investors are slipping through the gaps between the two.

07

What does it cost?

We start with a paid audit at £3,000 plus VAT. It maps where investor enquiries come from, who replies and where they stall, and you get a written report within 10 working days. The fee is credited against the build when the build deposit is paid within 14 days of the report.

Scoped builds run from £5,000 to £20,000, and before the audit we give a range, not an exact price. Qualification and nurture on a CRM you already have sits towards the lower end. It moves up with the number of channels feeding in, whether a chatbot or voice agent asks the questions, and whether the investor pipeline has to be built from scratch.

The timeline is agreed in the written scope. Messaging, software and AI usage are paid directly to the providers from your own accounts.

If you run an investment company, not a sourcing business, see CRM and investor portals for property investment companies or our property industry page.

Frequently asked questions

How much does an investor qualification system cost?

The audit is £3,000 plus VAT. The build falls within £5,000 to £20,000 depending on the channels, the tools you already have and whether AI handles the first conversation. The exact price is in the written scope.

Will investors be put off by questions before a call?

Five short questions are quick to answer, and they show you take the investor's criteria seriously. Anyone who prefers to talk can still book a call, and the questions are asked on it instead.

Can it ask for proof of funds?

It can request a document and store it against the investor with limited access. A person reviews it. The system does not judge whether the proof is acceptable.

We take most enquiries on WhatsApp. Does that still work?

Yes, with one change of habit. Each new investor is added to the system when the conversation starts, either by a link you send them or a short form your team fills in. How far messages can be connected directly is settled in the audit.

Can a chatbot or voice agent do the qualifying?

Either can ask the five questions and record the answers. Both say they are automated and pass anything about returns or suitability to a person. Our comparison of chatbots and voice agents covers which suits which channel.

Who decides the rules for a serious investor?

You do. We write them into the scope with you, test them against past enquiries before launch and adjust them once real answers come in.

Do we own the investor data?

Yes. Everything is built in your own accounts, and the code and the data belong to you.
