How does an AI voice agent work?
Every call follows the same six steps.
- The call arrives. Your number forwards to the agent all the time, only out of hours, or only when nobody picks up.
- It says what it is. The agent tells the caller it is automated and asks how it can help.
- It listens. Software turns the caller's speech into text. An AI model works out what the caller wants.
- It answers. The reply comes only from the services, opening hours and answers you have approved. It is spoken back in a synthetic voice. When the agent does not know, it says so.
- It acts. It books into your calendar, takes a message or transfers the call to a person.
- It logs the call. A written summary and the caller's answers go into your CRM against the contact.
What can an AI voice agent do, and what can it not do?
| Task | Can it do this? | Plain reason |
|---|---|---|
| Answer calls out of hours or when every line is busy | Yes | It does not wait for a free member of staff |
| Answer set questions about hours, location and services | Yes | The answer is already written down |
| Ask your qualifying questions and record the answers | Yes | The questions are the same on each call |
| Book or move an appointment | Yes | It checks a calendar against clear rules |
| Handle a complaint or an upset caller | No | It hands the call to a person |
| Give medical, legal or financial advice | No | Advice must come from a qualified person |
| Agree a discount or a one-off quote | No | It takes the details and books a call with your team |
The agents we build answer calls; they do not make them, and reminders and follow-up go by text and email. Automated calling also carries an extra rule in the UK. Under PECR, ICO guidance says automated marketing calls need the person's specific prior consent. General marketing consent is not enough.
The business stays responsible for what the agent says. In Moffatt v Air Canada (2024), a tribunal held the airline liable for incorrect fare information its website chatbot gave a customer. This is the reason to limit an agent to approved answers.
Terms you will meet
| Term | Plain meaning |
|---|---|
| Inbound call | A call a customer makes to your business |
| Outbound call | A call a business makes to a customer. The voice agents we build do not make these |
| Phone menu (IVR) | The "press 1 for sales" recording. A voice agent takes spoken sentences, so no menu is needed |
| Call flow | The written plan of what the agent says, asks and does |
| Handover | The point where the agent passes the caller to a person |
A voice agent speaks on the phone. A chatbot types on a website or in a messaging app. Our chatbot vs voice agent comparison covers which one fits which business.
Who needs one, and who does not
A voice agent fits a business where all of these are true:
- New customers reach you by phone.
- Calls go unanswered while the team is with a client, on site or closed.
- Callers ask the same questions each time.
- You have a calendar or booking system the agent can book into.
It is the wrong purchase in these cases:
- You miss a handful of calls a week. A clear voicemail message and a habit of calling back cost almost nothing.
- Your enquiries arrive in writing. A chatbot on your website is the closer fit.
- Every call needs judgement or advice. The agent could only take a message, and a simple answering service does that.
- Your answers are not written down yet. Write the answers and the handover rules first. The agent can only repeat what you have approved.
Which Agentryx solutions cover this
- Voice agents. We write the call flow with you, connect the agent to your phone number, calendar and CRM, and test it on real and awkward calls before a customer hears it.
- AI receptionist. The same technology set up as front desk cover. It takes overflow and out-of-hours calls, books appointments and routes anyone who asks for a person.
Both are built in your own accounts. You own the code and the data, including the call summaries.
What does an AI voice agent cost?
There are three parts to the cost.
- The audit. A paid audit comes first. It costs £3,000 plus VAT (US $5,000), and the written report arrives within 10 working days. The fee is credited against the build when the build deposit is paid within 14 days of the report.
- The build. Our scoped builds run from £5,000 to £20,000 (US $10,000 to $30,000). Two things move a voice agent within that range: the number of call types and the number of systems it connects to. Before the audit we give a range, never an exact price. The timeline is agreed in the written scope.
- Running costs. Phone minutes and AI usage are paid directly to the providers from your own accounts. The total follows your call volume and call length.
Our AI voice agent pricing page explains each part in more detail.
What is it worth? Do the sum
The leak, in an owner's words: "The phone rang, nobody could pick up, and the caller rang someone else." A voice agent pays through one lever, more clients, from calls that already reach your number.
The mechanism is short. The agent picks up the call nobody could take, asks your questions, then books the caller or takes a message for your team.
| What you count | Example |
|---|---|
| Missed calls a week | 10 |
| Share that were new business | 3 in 10, so 3 |
| Close rate on new callers | 1 in 3, so 1 a week |
| Value of a client | £300 |
| Worth a year (52 × £300) | £15,600 |
Example figures. Swap in your own. They are not a result, an average or a forecast.
To find your own number, open your phone provider's call log. Count the missed and abandoned calls for one normal week, then check how many of those numbers are not in your client list. You can work out your own figure with our ROI calculator.
Bring that count to a call with us. The audit report then prices this gap next to the other gaps in your business.
Frequently asked questions
How much does an AI voice agent cost?
A voice agent sits inside our scoped build range, which is set out in the cost section above. Call types and connected systems decide where it lands. A paid audit comes first, and you see a range before it.
Is an AI voice agent the same as a chatbot?
No. A voice agent speaks on a phone call. A chatbot types on a website or in a messaging app. Both should answer only from approved information and hand over to a person.
Will callers know they are speaking to AI?
They should. We set the agent to tell callers it is automated at the start of the call. Anyone who asks for a person is routed to one.
What happens when the agent does not know the answer?
It says it does not know. It then takes the caller's details and reason for calling, and passes them to a person on your team.
Who owns the voice agent after it is built?
You do. It is built in your own accounts, and you own the code and the data.
How long does a voice agent take to set up?
We do not give a time before a scope is signed. The timeline depends on the call types and connections, and it is agreed in the written scope.
