The copy-and-paste job nobody was hired to do
A booking comes in. Someone types the name into the diary, again into the invoicing tool, again into a spreadsheet, then sends a confirmation by hand. Each step takes a few minutes, and none of it is the work you hired them for.
The second cost is quieter. Typed twice, a detail is sometimes typed wrong: an invoice to the wrong address, a reminder that never went, a no-show nobody followed up.
What we build
- Workflow automation. When something happens in one tool, the right records are created or updated in the others. Details are entered once, and each step leaves a record of what ran.
- Follow-up and nurture. Reminders before appointments and approved messages to people who enquired and went quiet. Fewer booked slots are wasted, and fewer interested people are forgotten.
Our own Agentryx platform works this way: AI turns a call summary into tasks and a draft follow-up email for a person to check. It is our own product, not a client result. If you are unsure where to begin, read what to automate first in a service business.
What is it worth? Do the sum
Two levers apply: time back and money kept. Time only counts once it ends in pounds.
- The audit follows one job from start to finish and marks each copy step.
- Each copy step becomes a connection between two tools.
- Steps that need judgement, such as refunds or complaints, stop and wait for a person.
| What you count | Example |
|---|---|
| Copy steps per job | 4 |
| Minutes per step | 5 |
| Jobs a week | 30 |
| Hours a week (4 × 5 × 30 ÷ 60) | 10 |
| Time cost a year (10 × £18 × 52) | £9,360 |
| Mistakes a year (24 × £150 each) | £3,600 |
| Total a year | £12,960 |
Example figures. Swap in your own.
Pick one job, count how many times its details are typed, and time one step. Then count last month's mistakes and what each cost to put right.
Bring both numbers to a call. The audit report prices each problem.
When a cheaper option is enough
One simple link between two tools rarely needs us. An off-the-shelf connector will do it for a small monthly fee.
A scoped build makes sense when the process has branches, approvals or many steps, or when failures must be caught and logged. We compare off-the-shelf connectors and custom automation in more detail.
How pricing works
Every build is scoped and priced in writing after an audit. You get a range before the audit and a fixed price after the written scope. Running costs, such as software and message fees, are paid directly to the providers from your own accounts.

Frequently asked questions
How much does workflow automation cost in Manchester?
It depends on how many steps, tools and exceptions the process has. Every build is scoped and priced in writing after an audit. You get a range first and a fixed price after the written scope.
Which processes should we automate first?
The ones that happen often, follow the same steps each time and cost money when they go wrong. The audit ranks them by what each costs you a year.
What happens when an automation fails?
Failure paths are tested before launch. A failed step is logged and flagged to a named person, so a job does not vanish silently.
Will automation send messages without us seeing them?
Only messages you have written and approved. Anything about money, complaints or commitments made in your name goes to a person first.
Do we need to change the software we use?
Usually not. We connect the tools you already have and keep what works. The scope says so if a tool cannot be connected.
Do we own the automations?
Yes. They are built in your own accounts, and you can see what each one does.
