Enquiries with no owner and no next step

An enquiry arrives by form, phone, email or social message. Somebody replies once. Then it sits, because nobody was named as the owner and nothing in the system says what should happen next or when.

Nobody decides to lose that client. It happens because the CRM records contacts and does not manage them.

Speed matters too. A Harvard Business Review study of US companies in 2011 found that firms contacting a web lead within an hour were nearly seven times as likely to qualify it as those that waited an hour longer.

02

What we set up

  • CRM setup and migration. One pipeline that every enquiry lands in, whatever channel it came from. Each one gets an owner, a stage and a dated next step. If you are leaving an old system, we move your contacts, deals and history across and check them before the switch.
  • Dashboards and reporting. One view of enquiries by source, stage and owner, so you can see which are stuck without asking anyone.

We have done this to ourselves. Our own CRM migration, out of an off-the-shelf platform and into a system we built, is complete. Our guide on choosing a CRM for a service business covers the decision before any build.

What is it worth? Do the sum

The lever is more clients, from enquiries you already receive. The mechanism is plain:

  1. Every enquiry is created in the CRM automatically, with its source.
  2. It is assigned to a named person with a next step and a due date.
  3. Anything overdue shows on the dashboard and prompts its owner.
What you countExample
Enquiries a month with no next step15
Over a year (15 × 12)180
Close rate when followed up1 in 10
Value of a client£1,500
Worth a year (18 clients × £1,500)£27,000

Example figures. Swap in your own.

Open your CRM or inbox and count last month's enquiries that have no reply after the first, no owner or no dated next step. Multiply by your own close rate and client value, and bring the figure to a call. The audit report then prices each problem.

04

When a CRM consultant is not needed

If you take a handful of enquiries a month and one person handles them all, a simple list with reminders is enough. Outside help earns its place when several people share enquiries, they arrive through several channels, or you cannot say how many came in last month.

05

How pricing works

Every project is scoped and priced in writing after an audit. Before the audit you get a range, and after the written scope you get a fixed price.

CRM subscriptions and other running costs are paid directly to the providers from your own accounts. You can see how pricing works nationally.

Frequently asked questions

How much does a CRM consultant cost in Manchester?

It depends on how many records, pipelines and connected tools are involved. Every project is scoped and priced in writing after an audit, with a range before it and a fixed price after the written scope.

Will you make us switch CRM?

Only if the audit shows your current one cannot do the job. Often the fix is setup: owners, stages, next steps and reporting in the system you already pay for.

What happens to our existing contacts and history in a migration?

They are mapped field by field, moved and checked against the old system before you switch. The scope lists exactly what moves and what is archived.

Can the CRM chase enquiries for us?

It can send approved follow-up messages and remind the owner when a next step is due. Messages sent in your name are written and approved by you first.

Do you train the team?

Yes. Launch happens in stages, your team is trained on the new pipeline, and you get written documentation at handover.

Who owns the CRM and the data?

You do. Everything is set up in your own accounts, so the data stays yours if we stop working together.
