Custom internal software vs SaaS: when should you build?

Buy the commodity. Build the workflow that creates a real operational advantage.

The question is not whether custom software is better. It is whether your workflow deserves to become software.

Buy standard capabilities

Authentication, payments, scheduling, email delivery and accounting are mature categories. A specialist platform usually provides better reliability and compliance than a bespoke replacement.

Build differentiated workflows

Custom becomes sensible when the value comes from how your business combines data, decisions and actions across tools. If staff spend hours translating between systems or forcing a distinctive process into generic fields, the workflow may justify a purpose-built layer.

Calculate the continuing cost

Compare build and maintenance against subscriptions, manual labour, errors, delay and lost visibility. Include switching risk and the opportunity cost of depending on a vendor roadmap.

Avoid rebuilding the world

Good internal software sits above proven infrastructure. It connects existing systems, presents the right decisions and automates the business-specific work. Ownership does not require replacing every vendor.

Require an operating plan

Decide who maintains integrations, handles incidents, controls access and improves the system. Software without ownership becomes tomorrow’s legacy problem.

Buy what is common. Build what is specific, valuable and stable enough to encode.
